How to migrate from WellnessLiving to Chronix Hub
The 10-step migration playbook
We've helped studios migrate from WellnessLiving, Mindbody, Glofox, and Vagaro. The order below is what works in practice.

Check your WellnessLiving contract and renewal date
WellnessLiving contracts typically run annual with a 30-60 day cancellation notice. Open your signed agreement (or ask your account manager) and find the renewal date and notice window. Run Chronix Hub in parallel during the notice window; the new platform isn’t tied to your WellnessLiving contract.

Audit your add-on stack first
WellnessLiving aggressively upsells add-ons (CRM+, Marketing+, Achieve client app, etc.). List every add-on you're currently paying for and what it does. Most of these consolidate into Chronix Hub's base plan: scheduling, payroll, POS, CRM, invoicing, reports, client portal, calendar feeds, and email reminders are all included. No tier upgrades, no add-on fees.

Export your client list
In WellnessLiving, go to Reports → Client → Client List Export. Export the full list as CSV. You'll get name, email, phone, birthday, join date, address, and client tags. Save the file locally and verify the count matches WellnessLiving's dashboard.

Export your recurring schedule
Navigate to Setup → Schedule → Schedule. Export the full recurring schedule: class type, day-of-week, time, capacity, room, and assigned instructor. WellnessLiving's recurrence rules don't export cleanly into other systems; plan a one-time rebuild of repeating events on the Chronix Hub side (usually 30-60 minutes).

Export memberships, passes, and prepays
Go to Sales → Memberships → Active. Export every active membership and pass with: assigned client, status, price, billing cycle, next renewal date, and remaining credits. Verify totals match WellnessLiving's dashboard before importing. This is the single most error-prone step.

Sign up for Chronix Hub and import
Create your Chronix Hub account (free 14-day trial, no credit card). Use the built-in CSV importer for clients, class types, rooms, passes, memberships, and discount codes. Preview every row before commit. Most studios finish the data import in under an hour.

Rebuild WellnessLiving automation rules as plain emails
WellnessLiving's automation engine is dense and easy to overbuild. Don't port every rule one-for-one. Pick the 4-6 that actually move retention (welcome email, missed-class follow-up, intro-to-membership nudge, birthday) and rebuild them in Chronix Hub as simple email templates. Add more only after 30 days of real usage.

Set up payroll, payment-method labels, and policies
Configure your per-class instructor rates, your tenant-defined payment method labels (Cash, Card, Bank Transfer, OMT, WhatsApp Pay), late-cancel window, and no-show fee rules. Snapshot rates protect past payroll from future rate changes.

Run both platforms in parallel for one week
Don't cut over cold. Keep WellnessLiving live for one full week so staff learns the new flow. New bookings go in Chronix Hub; existing clients visit on their usual schedule. End of week, cancel WellnessLiving auto-renew and stop accepting bookings there.

Announce the new portal to your members
Email and SMS your clients with the new booking portal URL (yourstudio.chronixhub.com). Add a one-time “book your first class on the new system, get one bonus class” incentive; typical re-engagement uplift is 30-50% in the first 30 days. Set the expectation that they'll re-add their card on first booking.
WellnessLiving migration gotchas
- →Annual contract and 30-60 day notice. WellnessLiving contracts typically auto-renew with a 30-60 day cancellation notice. Check the exact language in your signed agreement and set a calendar reminder for the cancellation window. Cancelling late usually means another full year billed.
- →Add-on stack consolidation. WellnessLiving prices CRM+, Marketing+, and the Achieve client app as separate add-ons. Audit your invoice for every line item. In Chronix Hub, all of these are included on every plan: no add-on fees, no tier-up. The stacked total at WellnessLiving is often 2-3x the Chronix Hub subscription on its own.
- →Achieve client app re-onboarding. If your members are using WellnessLiving's Achieve app, they'll need to install your new portal (yourstudio.chronixhub.com) on first visit. Chronix Hub's portal installs to home-screen with one tap and sends push notifications on most modern phones. Plan one announcement email plus one in-class reminder; most members switch in the first 7-10 days.
- →Don't over-port automation rules. WellnessLiving's automation engine encourages dozens of complicated rules. Most of them don't move the needle. Don't port every rule one-for-one. Pick the 4-6 that actually drive retention and rebuild them as plain Chronix Hub email templates. Add more only after 30 days of actual data on the new system.
- →Stored payment methods. PCI rules block any platform from handing over saved cards. Members re-add cards on first booking. The announcement email should set this expectation up front; a single line covers it and avoids support tickets.
