Late-Cancel Window

Also called: cancellation window, late cancel cutoff

A late-cancel window is the cutoff time before class — usually 12 or 24 hours — after which a member who cancels still loses the credit or pays a fee.

The window is the studio's defense against ghost-bookings: members reserving a spot to hold their option and canceling 10 minutes before class. With no window, capacity becomes meaningless because the schedule reflects intent, not attendance.

12-hour windows are common at high-volume boutique studios where same-day attendance can swing 20-30%. 24-hour windows are common at lower-volume studios that need more time to fill open spots from the waitlist.

A late-cancel typically deducts the class from the member's pack (or counts against their unlimited membership for capacity purposes), but does not trigger a cash fee — that's reserved for full no-shows. The distinction matters: a member who cancels 30 minutes before class still made an effort to communicate, and the punishment should reflect that.

Example

A spin studio with a 12-hour window: a member books Tuesday 7am on Monday at 3pm. If they cancel before 7pm Monday, no penalty. Cancel between 7pm Monday and 7am Tuesday: late-cancel, lose the credit. Don't show: late-cancel + $20 no-show fee.
